Fulfillment, Refund & Cancellation Policy
At The Hart Wardman, we are committed to providing a transparent and reliable booking experience. This policy outlines our terms for payments, cancellations, refunds, and related items, and applies to both direct bookings and reservations made through third-party platforms.
Booking & Payment
Guests may book directly through our website or via third-party platforms such as Airbnb, Booking.com, and VRBO.
Direct Bookings:
Payment is collected when the cancellation period ends, as specified at the time of booking.
Accepted payment methods:
ACH transfers (no fee)
Credit/debit cards (3% processing fee)
Third-Party Bookings:
For reservations made via third-party platforms, all payments are handled through the respective platform, and their payment policies apply.Monthly Rentals (31+ days):
Guests booking for one month or longer will be charged a cleaning fee, security deposit, and first month's rent at the time of booking. Ongoing rent is paid monthly in advance.
Taxes
For stays of 30 days or fewer, we collect Washington, D.C. hotel tax, currently 15.95%, in compliance with local regulations. This tax is applied to the total reservation amount, including cleaning fees.
Cleaning Fees
A cleaning fee applies to all stays, including:
Short-term stays (30 days or fewer)
Monthly stays (31+ days)
The fee amount is based on unit size and is disclosed prior to booking confirmation.
Cancellations & Refunds
Cancellation Policy:
Cancellation windows and refund eligibility vary by listing and are clearly stated at the time of booking. Guests are encouraged to review individual listing terms carefully before confirming their reservation.Refunds for Direct Bookings:
For eligible cancellations, refunds are issued to the original payment method and processed within 2 business days of approval.
The time it takes for the refund to appear in your account may vary depending on your financial institution.Third-Party Bookings:
Cancellation and refund requests for bookings made via Airbnb, Booking.com, VRBO, etc., must be submitted through the respective platform.
Early Check-In & Late Departure
We may be able to accommodate early check-ins or late checkouts with advance notice. Availability cannot be confirmed until the day before arrival or departure. Additional charges may apply.
Security Deposits
For monthly stays, a security deposit is required at booking. The deposit is refunded after the guest vacates and the unit passes inspection. Deductions may be made for:
Damage to the unit or furnishings
Excessive cleaning required
Violations of house rules (e.g., smoking, pet policies)
Unauthorized late checkouts or overstays
Promotional & Non-Refundable Rates
Any promotional or discounted pricing is reflected at the time of booking. Some promotional bookings may be non-refundable, and this will be noted in the listing details.
